Refund Policies

Refund policies for each program are listed below. If you have any questions about these policies please contact the club treasurer.

Mason City Youth Hockey Tournament Refund Policy Tournament Registration & Payment A team's tournament registration is not considered complete until full payment has been received. Tournament spots are reserved on a first-paid, first-served basis. Team Withdrawal & Refunds If a team must withdraw from a tournament, the following refund policy applies: More than 60 days before the tournament: Full refund, less a $50 administrative fee. 31–60 days before the tournament: 50% refund. 30 days or less before the tournament: No refund. Exception – Replacement Team If a withdrawing team's spot is filled by another team from the tournament waitlist or by another eligible replacement team, Mason City Youth Hockey will refund the tournament entry fee, less a $50 administrative fee. Tournament Cancellation by MCYH If Mason City Youth Hockey cancels a tournament before play begins, teams will receive a full refund of all tournament registration fees. If tournament play has already begun and the event must be shortened or canceled due to circumstances beyond MCYH's control—including but not limited to severe weather, facility issues, utility outages, public health emergencies, or other unforeseen events—refunds will be determined at the sole discretion of the Tournament Director and the MCYH Board of Directors based on expenses incurred and the amount of tournament play completed. Minimum Games Every effort will be made to provide each team with the advertised minimum number of games. However, no refunds or partial refunds will be issued if the tournament is shortened due to circumstances beyond the control of Mason City Youth Hockey, including but not limited to severe weather, facility issues, power outages, or other acts of God. Team Forfeiture Teams that fail to appear for scheduled games, withdraw after the tournament begins, or are removed from the tournament due to disciplinary action are not eligible for a refund. Refund Processing Approved refunds will be processed within 30 days after the tournament concludes using the original method of payment whenever possible. Registration Deposits: -Tryout fees and registration deposits are non-refundable. -Deposits secure a player’s roster spot and help cover preseason expenses, league fees, and ice contracts. Voluntary Withdrawal: Before Teams Are Formed: Refunds may be issued minus: -Non-refundable deposit -Processing fees -Any costs already incurred on behalf of the player After Teams Are Formed: Refunds are prorated at the discretion of the board based on: -Date of withdrawal -Ice time already used -League/tournament fees already paid -Apparel or equipment already ordered After Season Begins: No refunds after: -League play begins -Tournaments are booked -Rosters are submitted Medical Exceptions: Season-ending injuries or medical issues may qualify for a partial refund with: -Physician documentation -Board approval Refunds will be prorated and may exclude fixed expenses already incurred. Player Discipline / Conduct: No refunds will be issued for: -Suspension -Removal from team -Disciplinary action -Violation of association policies Financial Hardship / Special Circumstances: The board reserves the right to review unique situations on a case-by-case basis. -Any exception requires board approval. -Volunteer Buyouts & Fundraising -Volunteer deposits and fundraising obligations are non-refundable once assigned or invoiced unless otherwise approved by the board. Payment Plan Defaults: Failure to remain current on payment plans may result in: -Suspension from participation -Withholding roster eligibility -Denial of future registration
